General Settings Tab

Default Viewing Options

Default Batch View

Select one of the following:

  • Tree View
     
  • Data View
     

NOTE: The screen layout is configurable by the user and is saved separately for each view. This allows the user to have different screen layouts (if they wish) when entering the QA module in Data View versus Tree view

Default Data View

Select one of the following:

  • Folder and Document Records
     
  • Folder Records Only
     
  • Document Records Only
     
Default Image View

Select one of the following

  • Page View - Selecting this option shows only the full Page Image Viewer.
  • Thumbnail View - Selecting this option shows only the Thumbnail Image Viewer.
  • Both - Selecting this option shows both a Thumbnail Image Viewer and a full Page Image Viewer.
Thumbnail Image Size

Choose from the following:

Smallest

Small

Medium
 
Large
 
Show File Size in Thumbnail Viewer

Selecting this option will cause the file size to be displayed under each thumbnail as shown in the example above.

Data View Font Size

Set the font size. Choose between:

Auto View Settings

Auto View Type

Choose what the image viewer displays when enabling the lightning bolt in the QA module. 

  • Every N Pages - Setting these values allow the user to automate or semi-automate the viewing of images for quality purposes, when N is a numeric value. The default is set at 1, so every page is viewed.
    • QA Every - Choose to run QA every so many pages for quality purposes
  • Front Pages Only - Displays only the front pages.
  • Back Pages Only - Displays only the back pages. NOTE: When importing, mark even numbered pages as back page in “Capture Settings” must be enabled to designate the back pages.
  • All Flagged Pages - Displays only the pages tagged with any flag.
  • Pages With Specific Flag - Displays only the pages tagged with the flag specified here. Choose between:
    • Auto View Flag Type
       
  • Separator Pages Only - Displays only the folder and document separator pages.
  • Specific Page - Displays specific page 
    • QA Page - Choose which page to display
Auto View Update Interval

Can be adjusted in .1 second increments from 0.1 to as many seconds as the user feels they need. The desired setting may differ between users and is configurable in the QA module itself. 0.4 seconds is recommended.

Skip Folder/Document Separators

With either of these options enabled those pages will be skipped over.

Manual Cropping Options

Select the default behavior for the QA module.

Default Crop Behavior

Choose between:

Show Crop Preview Dialog

Selecting this option will cause the Crop Preview Dialog to be displayed.

Select New Item After Cropping

Selecting this option moves to the next image after crop is complete.

Batch View Display Options

Batch View Document Node Display Field

The display value of the Document tree Nodes maybe set to the following values: <default> (Document 00000001 for the first document in a batch), one of the Document Index values, <System.DocumentNumber>, <System.DocumentSeparator>, or <System.DocumentPath>.

Batch View Folder Node Display Field

The display value of the folder tree nodes maybe set to the following values: <default> (Folder yyyymmdd.hhmmss),<System.FolderNumber>, <System.FolderSeparator>, or <System.FolderPath>.

Editing Options

Auto Name manually separated folders using current date and time

Selecting this option will cause the name of a manually separated folder to be the default date and time format (yyyymmdd.hhmmss). If the user does not select this option they must manually name the folder.

Allow Index Data to be edited

Selecting this option allows the user to edit index records in the Data View portion of the QA module.

Indexing mode on when opening batches

Once Allow Index Data to be edited is selected the user may also select this option so that the operators would not need to select the index icon on the toolbar to enable indexing once in the QA module.

Display zones for index fields using zones or line item extraction

Selecting this option enables user to see index fields using predefined zones or line item extractions setup.

Zoom to zone for index fields using zones or line item extraction

Selecting this option causes a predefined zone to be zoomed in on once a user selects the corresponding index field in the Data View portion of the QA module.

Display index value tooltip above zone

Selecting this option causes a floating tooltip above the zone on the image screen with the value of the index field associated with that zone.

Zoom to entire Parent Zone for Multi Records Zones

Selection this option causes the entire parent zone or multi records zones to be displayed in the QA module.

Smart Zone Zooming

Users options for viewing include:

  • Smart Zone and child zones
  • Smart Zone anchors and child zones
  • Smart Zone only
Run Validation Scripts when modifying field values
Process Custom Index Fields when editing data

Custom Index Fields can be enabled or disabled with this option. Custom Index fields are combinations of other index fields and constant values.

Run Data Validation when Closing Batches in Quality Assurance

Selecting this option causes data validation (required fields and types) to run across all fields when closing a batch in QA.

Validation should fail if Lookups have failed

Selecting this option in conjunction with Run Data Validation when Closing Batches in Quality Assurance and having a database lookup fail will cause validation to fail when closing a batch in QA.

Warn user when closing Batches that contains items flagged for Deletion or Rejection

Selecting this option will cause a dialog box to appear when a user attempts to close a batch containing items flagged for Deletion or Rejection.

Do not allow Batch to be closed when there are modified lookup key values

Selecting this option will not allow a user to close a Batch if lookups are defined and the key values have been modified and the lookup function has not been re-run.

Disable prompt when deleting Folders, Documents and Pages

Selecting this option enables users to avoid getting the prompt every time a folder, document, or page is deleted.

Auto save pages after manually rotating

With this enabled when rotating the pages in QA they will automatically be saved instead of the user having to manually click the save page button.

Enable word wrap for cells in Data View

Selecting this option allows a user to avoid having time consuming side scrolling when look at data in the QA module.

Capture Options

Delete Blank Pages (Requires Blank Page Detection to be turned on)

Selecting this option in conjunction with the Blank Page Detection in the Document Type Configuration/Recognition section of this manual will delete images that are blank according to the options selected in the detection section.

Store Deleted Blank Pages (Batch Folder\Deleted Blanks)

Selecting this option will store deleted blank pages in the batch folder in a subfolder labeled “Deleted Blanks”. NOTE: WARNING!!! Choosing this option will cause blank pages to be counted as a captured image for those users who have a limited count license.

When importing, mark even numbered pages as back page

Useful when scanning paper documents in duplex mode. NOTE: it is advised that care be taken during scan time to keep the page numbers in sync with the actual paper.

Scale images that exceed Maximum Image Size in either dimension

Images that exceed the specified value in inches will be scaled down.


Auto Processing Settings Tab

Enable QA Auto Processing

Choose this option to enable Quality Assurance auto processing. NOTE: enabling this feature will allow the QA module to be added to Auto Import and Auto Processing Doc Types as well as standard queue base Doc Types.

Auto Processing Commands

Available Auto QA Commands

Add one or more of the available commands by highlighting those desired and selecting add. NOTE: The Selected Auto QA Commands will be run in the order listed. Correct placement is critical in order to get the desired results. Example: Reordering would usually occur before combine and combine before separation by number of pages.

Auto Clear Flags (available in versions 5.4.2 and above)

In this window users can determine which flags to clear and on which batch items.

Flag type to clear options: Batch Items options:
  • All Flags
  • Delete Flag
  • Review Flag
  • Reject Flag
  • Process Flag
  • Skip Flag
  • Clear Flag on Batch
  • Clear Flags on Folders
  • Clear Flags on Documents
  • Clear Flags on Pages     

Auto Flagging on Barcodes Values

Automatically flag images based on barcode values. Select the desired flag and add any matching barcode values to be flagged.

 

 

 

 

 

 

Auto Flagging on File Size

Automatically flag images based on the file size in bytes. Unique values can be entered for front pages and back pages.

NOTE: You can individually enable and disable processing on Front Pages and Back Pages.

 

 

 

 

 

 

Auto Flagging on Image Color Level

Automatically flag images based on color level.

Available Options:

Black/White
Greyscale
Color

 

Auto Flagging on Index Values

Auto Flagging on Page Number

Automatically flag images based on page number. Enter the desired pages (separate multiple pages using comas) and select the flag type to apply.

Also available are generic options:

Flag Odd Pages
Flag Even Pages


 

 

Auto Flagging on Page Type

Automatically flag pages based on various definitions including:

Front Pages
Back Pages
Folder Separators
Document Separators


 

 

Auto Insert/Replace Pages

Auto Process Bates Stamping

This allows Bates Stamping to be run in QA.

Auto Redaction Using Zone OCR

Zone OCR can be utilized to block out certain data from the images.

Zone OCR Settings

Pages to Process

Select which page to redact:

First Page / Last Page / All Pages of Document

OCR and redaction will only be performed on the First, Last, or All pages.

Custom Page List of Document

Enter within “Custom Pages” field specific page numbers for OCR and redaction to process. Separate multiple pages by comma.

Separators Only

Enable Document/Folder separators in their corresponding check boxes.

Flagged Items Only/All except Flagged Items

Select a flag from the dropdown list.

Zone to Process

Default is the entire page, or click “Define Zones” to draw a custom zone. See Define Zones for additional information.

Word Tolerance

Allows you to define the distance the OCR engine will search when locating individual word breaks.

Example:

“Invoice Number: 12345” – By default this appears to be 3 words. If you increase word tolerance the engine will recognize this example as a single word for the purposes of running pattern matching, highlighting, and other features that rely on word breaks.

Redaction Expressions

Use Regular Expressions to identify the data to be redacted. The expression shown in the sample below will redact Social Security Numbers.

User can add more expressions via the Regular Expressions Editor by clicking Add.

Index Fields containing Redaction Expressions

This will allow you to redact words found within the specified index fields. Any matching words found within the search area will be redacted.

 

 

 

 

Redaction Options

Redaction Type

Choose Redact to Black, Redact to White, or Redact to White with Black Border.

Border Thickness

Specify in pixels how thick to make the border.

Perform Case-Insensitive Comparisons by Default

Store redacted word values in Redaction Results

Redacted words will be stored in the page information display if this option is checked.

Auto Redaction Using Zones

This feature can be utilized to block out certain areas from the image to hide confidential data.

Pages To Process

Select which page to redact:

First Page of Document Only, Last Page of Document Only, All Pages of Document

OCR and redaction will only be performed on the First, Last, or All pages.

Enter within “Custom Pages” field specific page numbers for OCR and redaction to process. Separate multiple pages by comma.

Separators Only

Enable Document/Folder separators in their corresponding check boxes.

Flagged Items Only/All except Flagged Items

Select a flag from the dropdown list.

Click “Define Zones” to draw a custom zone for redaction.

Choose Run on Page defined in Zone Definition or Run on all Pages selected to process.

Document Combine On Index Values

Choose the document Fields To Match that the program will combine together in the batch. NOTE: in the example below: if the Doc Classification and Loan Number match the program will combine them. It will also Sequence them based on the data in the "Page" index field and Validate on the "Number of Pages" index field.

 

 

 

 

 

 

 

 

 

Example: The Sample Data would look like this after the above configuration is run if all 5 documents were present.

Fields: Doc Classification, Loan Number, Number of Pages, Page
Document: 1 Legal,12345,5,1(pages 1-5 would be combined into 1 multi-page tiff)

Validate sequence when combining

Select the Sequence Field (this field will be to validate all intended documents are present before the combine.

Example: If the data below represents the documents available in a batch, a Sequence error would occur as page 2 is missing.

  • Fields: Doc Classification, Loan Number, Number of Pages, Page
  • Document: 1 Legal,12345,5,1
  • Document: 3 Legal,12345,5,3
  • Document: 4 Legal,12345,5,4
  • Document: 5 Legal,12345,5,5

Validate Document page count after combining

Select Validation Type: then Select Index Field and choose the Page Count Field. (field containing the number of pages expected in this document) or Select Manual and choose the Page Count (fixed number of pages expected in each document)

Example: If the Sample Data looks like this after the above configuration is run, a validation error would occur because of a page count error (page 5 is missing)

  • Fields: Doc Classification, Loan Number, Number of Pages, Page
  • Document: 1 Legal,12345,5,1
  • Document: 2 Legal,12345,5,2
  • Document: 3 Legal,12345,5,3
  • Document: 4 Legal,12345,5,4
Document Record Combine On Index Values

Match Field

This setting will combine all exact match records into one single record

Sum Field

This will add the value of any matching records when combining into a single sum total.

 

 

 

 

 

 

 

 

Document Reordering On Index Values

Select from the Available Fields and choose Add.

Select from the Sort Fields to Remove or Choose Move Up or Move Down to set the desired order of the fields to be sorted on.

Sort Order may be Ascending or Descending

Example - the Sample Data might look like this initially:

  • Fields: Doc Classification, Loan Number, Number of Pages, Page
  • Document: 1 Legal,12345,5,4
  • Document: 2 Legal,12345,5,3
  • Document: 3 Legal,12345,5,1
  • Document: 4 Legal,12345,5,5
  • Document: 5 Legal,12345,5,2

The Sample Data would look like this after the above configuration is run:

  • Fields: Doc Classification, Loan Number, Number of Pages, Page
  • Document: 1 Legal,12345,5,1
  • Document: 2 Legal,12345,5,2
  • Document: 3 Legal,12345,5,3
  • Document: 4 Legal,12345,5,4
  • Document: 5 Legal,12345,5,5
Document Separation On Page Count

Set the Maximum Pages per Document, this causes a split of documents larger than this number of pages. NOTE: the user may also wish to enable Copy Index values when splitting Documents/Folders in Document Type Configuration/General (Part 2).

 

 

 

Flag Auto Processing

Delete items flagged for deletion

All items with this flag will be automatically deleted.

Reject items flagged for rejection

All items with this flag will be rejected to a new batch.

 

 

Folder Combine on Index Values

Choose the folder Fields To Match that the program will combine together in the batch.

Folder Separation On Document Count

Set the Maximum Documents per Folder, this causes a split of folders larger than this number of pages. NOTE: the user may also wish to enable Copy Index values when splitting Document/Folders in Document Type Configuration/General (Part 2).

Folder Separation On Index Values

Select the Field To Match to separate folders on.

Automation

Select Automatically open next Batch of this Document Type to process multiple queued batches of this type from the QA module.

Select Automatically close batches after running auto processing to close each batch after running the QA auto processing functions.

 

Auto-QA Exceptions Processing

Automatically reject items to Exceptions Batch which fail validation

Selecting this option will cause Folders and Documents that fail validation to be moved to an exceptions batch whose name will be the same as the original (Exception). Existing data will be saved and moved.

Mark items which fail validation and load Batch in QA Module, displaying first failed item

Selecting this option will cause all records the fail validation to be marked with  and the first record which fails validation to be loaded on the screen.

Mark items which fail validation and suspend Batch in QA Module

Selecting this option will cause items which fail validation to be marked with  and if any did fail, once they are marked the batch will be suspended.

QA Data View Settings Tab

Document Index Fields

Provides settings for each individual field (column) within the Quality Assurance data view grid. You can specify the Column Width and whether or not the field is displayed via a simple check box.
